Importing Products and Inventory to The ShipWorks Hub
ShipWorks’ Product Catalog allows you to import and manage your product and inventory information directly into The ShipWorks Hub. With your product information stored in ShipWorks it becomes much easier to manage products when selling across multiple sales channels, weights and dimensions can be auto populated when shipping, inventory counts can be managed, and when shipping internationally customs information can be populated automatically.
The product catalog on The ShipWorks Hub allows you to import your products from a file (including inventory counts), or to export your product catalog to a file.
This article explains how to view your product catalog on The ShipWorks Hub, import products on The Hub, and export your product catalog from The Hub.
Please check out these articles for information on how to manage products in the ShipWorks software.
If you intend to import inventory information associated to your products you will first need to make sure that:
-
All ship-from locations (warehouses) are added to The Hub.
-
For each-ship from warehouse you have created inventory locations to which your inventoried items will be associated.
If you intend to import inventory counts and have not yet completed the above steps, please see the article on how to set up ShipWorks product and inventory management.
1. Go to hub.shipworks.com and enter your ShipWorks username and password. Click the
Log In button.
2. Click the Products link located in the side-bar menu.
Note
Any products that have already been imported into either the ShipWorks software or uploaded to The ShipWorks Hub will be visible on the Products screen.
You can sort Products on The ShipWorks Hub (ascending/descending) by clicking on any of the column headings.
Tip
Did you know you can add products and inventory counts manually into The Hub?
While this article focuses on importing an entire product catalog, including initial stock counts, you can enter items in to The Hub manually by using a CSV file:
1. Log into The Hub.
2. Select Products.
3. Click the Add Product button.
4. Add the item details and, if applicable, inventory.
5. Click Save.
In order to upload your product catalog you will need to first download the ProductImport_sample.csv file. Using the sample file will ensure that your product catalog is in the proper format to be imported into ShipWorks. You can download the sample file in two ways:
-
Clicking the sample file attached to the bottom of this article.
-
On The ShipWorks Hub, click on the Add From File button. Then, click on the Download a sample .CSV file link to download the file.
Configure your product file so that it matches the format of the Sample file you downloaded in the previous steps.
Important
-
The column headings in the Sample file need to remain unaltered.
-
Begin entering your products into ROW 3 of the ProductImport_Sample.csv file.
-
Be sure to enter product information into the appropriate columns and in the correct format using the Sample Import File Formatting table below.
-
Fields marked with an asterisk (*) are required.
-
If there is a product in your import file with the same SKU as a product already in your ShipWorks database the imported product file will over-write the values (including inventoy counts) for that product in The ShipWorks Hub. It is important to note that blank values for a SKU in your import file will update the product in ShipWorks to be blank as well.
* SKU |
Stock Keeping Unit. Unique identifier for the product, for example: 45-678-9 or 56789 |
Alias SKU |
Used for alias SKU numbers. An alias is an additional SKU assigned to a product. For example, if you have separate SKUs for the same product being sold on multiple stores or if you have unique Amazon or eBay SKUs for the product. Multiple alias SKUs are entered in the following format: SKU1 : AliasName1 | SKU2 : AliasName2 For example: If you have alias SKUs of SKU1 with a name of eBay and SKU2 with a name of Amazon, enter them as SKU1 : eBay | SKU2 : Amazon NOTE: If any of your Alias SKUs contain a pipe character ( | ) it will need to be escaped using a ( \ ). For example, if your SKU is SKU|1 you would it enter into the alias field as SKU\|1. This tells ShipWorks that the | is actually part of the SKU. |
Bundled SKUs |
For items containing multiple SKUs that are sold together, enter each SKU and quantity in the following format: SKU : QTY | SKU : QTY. For example, if the bundle contains one of SKU1, two of SKU2 and three of SKU3 it would be entered as: SKU1 : 1 | SKU2 : 2 | SKU3 : 3 Bundled SKUs must either already exist in ShipWorks or must be listed separately in the product import file being created. NOTE: If any of your Alias SKUs contain a pipe ( | ) or a colon ( : ) it will need to be escaped using a ( \ ). For example, if your SKU is SKU|1 or SKU:1 you would enter into the field as SKU\|1 or SKU\:1 in the Budled SKU field. This tells ShipWorks that the pipe or colon is actually part of the SKU. |
* Name |
The name or description of the product. For example: Large Red T-shirt |
UPC |
The Universal Product Code (UPC) of the product. |
ASIN |
The Amazon Standard Identification Number (ASIN) of the product. |
ISBN |
The International Standard Book Number (ISBN) of the product. |
FNSKU |
The Amazon Fulfillment Network Stock Keeping Unit. |
EAN |
The European Article Number. |
Weight |
The weight of the product entered in fractional pounds. For example: If the product weight is 1 pound and 4 ounces it would be entered as 1.25. Enter only the numerical value. Do not include the unit of measure such as 'pounds' or 'lbs'. |
Length |
The length entered in inches. (Enter in decimals. For example: A length of 5 and 1/2 inches should be entered as 1.5.) |
Width |
The width entered in inches. (Enter in decimals. For example: A width of 5 and 1/2 inches should be entered as 1.5.) |
Height |
The height entered in inches. (Enter in decimals. For example: A height of 5 and 1/2 inches should be entered as 1.5.) |
Image URL |
If your product has an image associated with it, you can enter the path or the URL to the image here. NOTE: Since The Hub is web based, images may not show properly on The Hub when a local or network path is used. Examples paths may look like: For an image located on your PC: C:/Pictures/Image1.jpg For an image on a network drive: \\NetworkDrive\image.png For an image located on the internet: https://www.yourwebsite.com/windows-tile-310x150.png |
Warehouse-Bin Location |
Your warehouse location for the product. |
Declared Value |
The declared value of the product when shipping internationally. Unit is US Dollar. |
Country of Origin |
The country in which the product was manufactured. Used when shipping internationally. Enter the two character country code . For example: United States = US, Germany = DE, etc. |
Harmonized Code |
Standard WCO tariff code for international shipments. |
Active |
Indicates if the product is Active (available for use by the ShipWorks software) or Inactive (is in the ShipWorks product catalog, but is not used by ShipWorks). To mark an item as Active, any of the following values can be used: Active, Yes, True, or 1 To mark a product as Inactive, simply leave the field blank or enter Inactive. |
Inventory Counts |
The inventory location and quantity for the product. It is possible to import multiple inventory locations and quantities for a single SKU for a given warehouse/ship from-location.
For example, if SKU 123 at your St. Louis ship-from warehouse is stored in both BIN 1 and in BIN 35, your file might look like this: BIN 1 : 5 | BIN 35 : 20 IMPORTANT The locations are case sensitive and must match the locations entered into The Hub exactly. |
Note
You will need to follow the steps in this section for each ship from (warehouse) location. For example, if you have a St. Louis warehouse and a New York warehouse, you will need to import two separate files: one for products stocked at St. Louis and one for products stocked in New York.
1. Click on the Products link, then on the Upload Products (.CSV) link.
2. Click the Select a File button.
3. Navigate to and select your import file. Then, click the Open button.
4. Click on the Select... drop-down menu located under Select Warehouse to Apply Import To. Select the warehouse to which the products being imported will be associated.
5. Optionally, if you wish for the products to be imported but to not be made active, check the Set product as Inactive box in step 3.
6. Click the Import button to begin the import process. When the import is complete, you will be prompted letting you know that the products were imported successfully. Click Close.
-
It may take a few moments after importing for the page to refresh and show your imported products.
-
If a file is imported containing products with SKU numbers that have previously been imported into the ShipWorks product catalog, the product information (Name, Attributes, Dimension, Location, Inventory etc.) will be updated/overwritten for those products.
-
Products imported into The ShipWorks Hub will be downloaded into the ShipWorks software assigned to the corresponding Warehouse. (For example: Products imported into The Hub that are associated to the St. Louis warehouse will be downloaded to the ShipWorks software associated to the St. Louis warehouse.)
Note
The export file created by following the steps in this section does not include inventory information.
1. Click on Products in the side-bar to view the product catalog.
2. Click Export Products (.CSV) located in the page footer. A comma separate value file (.CSV) will be compiled and automatically downloaded for you.
Tip
The downloaded file will be named ExportedProducts.csv.
