Automatically Email Return Labels
ShipWorks gives you the ability to generate return labels and to email them to your customer automatically. This article will guide you through how to configure an action in ShipWorks that will automatically email a return label to your customer. Once you complete the steps in this article, return shipping labels will be automatically emailed at the time they are created.
Need to send a single return label?

This article is specific to creating an action for USPS return labels. However, the same steps can be applied for any shipping provider.
Before continuing with this article, please be sure that:

You have ShipWorks installed and are able to log into the ShipWorks software as a user with administrator rights.

You have added an email account to the ShipWorks software and can successfully send an email from ShipWorks using the connected email account.

You have successfully added the Return Labels email template to ShipWorks.
ShipWorks will use the Return Labels template you created in the First Things First section above to email return labels to your customers. In this section you will customize the template to include your own subject line, to specify which email account to send the email from (if more than one account configured in ShipWorks) and to add a CC or BCC email address. Here's how:
2. Select the Return Labels template you created previously from the list of templates.
3. Click the Edit button.
4. Click on the Settings tab, then the Email link.
5. Update the following information:
Account: If you have more than one email account configured in ShipWorks, you can select from which account the email should be sent. Otherwise, leave the default.
To: Click the drop-down arrow to the right of the To: field and select whether you wish to use the email address from the customer's Billing or Shipping information.
CC: Optional.
BCC: Optional
Subject: Update the subject line. This is the subject of the email your customer will receive. The {//Order/Number} text in the screenshot below automatically populates the customer's order number into the subject line.
6. Click Save then click Close.
Let's create the action that will automatically send a return label to your customer. The action will be configured so that when you click on the Create Label button to generate the return label, ShipWorks will automatically send an email containing the return label to your customer using the template you configured above.
1. Click on the Manage tab and then on the Actions button.
2. Click the New Action button on the right side of the Action Manager screen.
3. Give the action a name, like 'Send Return Label'. You can name it whatever you'd like.
4. Click on the When the following occurs drop-down menu and select A shipment is processed.
5. Check the box to the left of Only when using and select USPS from the drop down menu.
Carriers other than USPS
If you are creating the action for a carrier other than USPS, select that carrier instead. For example: If you wish the action to automatically send FedEx return labels, select FedEx.
6. Check the box to the left of Only for and select Return shipments from the drop-down menu.
7. Click on the Add Task button and select Output Email.
8. Click on the drop-down menu to the right of With Template and select the Return Labels template.
9. Optional: If you wish to delay the delivery of the email to a specific time, check the box to the right of Delay delivery: and specify when you would like the email(s) to be sent.
Your action should now look like the following screenshot.
10. Click OK. Then, click Close.
You are all set. From now on, when you click the Create Label button to generate a USPS return label, ShipWorks will automatically email the label to your customer.
