Locate Orders in ShipWorks
Prior to shipping an order it must first be located and selected. Did you know that you can easily search for and find orders in ShipWorks? ShipWorks gives you the tools you need to locate specific orders by using a Quick Search or by using an Advanced Search when you need to really drill down on specific search criteria.
In this article we will take a look at how to perform a Quick Search and an Advanced Search. We will also demonstrate how, in ShipWorks version 5.8 or greater, you can use both an Advanced Search and a Quick search in combination.
This article assumes that you have ShipWorks installed and that you have at least on store connected to your ShipWorks software. It also assumes that you have orders downloaded into ShipWorks.
Search with a Barcode Scanner
This article will walk you through how to search for orders by manually typing in the Search Orders field. But did you know that you can simplify the search process by using a barcode scanner? Learn more about scan-based shipping (Scan-to-Ship) here.
ShipWorks allows you to locate orders by entering your search criterion into the Search All Orders field located at the top right corner of the Orders Grid on the Home tab.

For example, to locate order number 6004 type 6004 into the Search All Orders box.

To locate an order from a customer with the last name of Boone type Boone into the field.

'Hey, why are there multiple results?'
Great question. Keep in mind that this is the Search All Orders field. So, in this example, ShipWorks searched for any order that has the name Boone associated to it. You can see we wound up with orders from Jason and Mary and Joyce, and so on.
Let's take a look at another example. Suppose you are trying to locate order number 8. Type 8 into the Search all Orders field and here are the results:

Think of it this way... When you typed 8 into the search field you are asking ShipWorks to locate any orders beginning with the number 8. Therefore, you do get order number 8, but you will also get any other orders beginning with the number 8.
'How do I clear my search results?'
There are a couple of different ways to do this.
1. Click on the X inside of the Search All Orders field.

2. Click on any filter in the Filters Panel.

'Which fields does ShipWorks search on when using the Quick Search?
Another good question. Here is a list:
ShipWorks Order Number
Marketplace Order Number
Shipping and Billing First Name
Shipping and Billing Last Name
Shipping and Billing Email Address
What happens when you need to be much more specific with your search criteria and results? Perhaps you need to search on something related to the order that is not available in the Quick Search. ShipWorks allows you to perform an Advanced Search which gives you much more control over the search criteria.
To begin an Advanced Search, click on the Advanced Search button to expand the Advanced Search area.


There are many, many search options available in the Advanced Search. Too many to cover in a single article. So, let's take a look at an example so that you can learn the process and begin to explore your search options.
Example: We need to locate orders that were placed within a certain date range and contain a specific SKU number.
1. To begin, click on the Add Criteria button in the Advanced Search window.
2. Click on the blue text Order Total and select Order Date.

3. Next, click on the green text Equals and select Is Between.
Did you notice how many options are available to you? You can get very specific with your criterion.

4. Enter a date range. (For this example we will use 09/01/2016 to 09/30/2016).

5. Now, let's specify the SKU number that the orders must contain. Click on the Add Condition button again. A second line will appear allowing you to specify additional criteria.

6. Click on Order Total and select For Any Item.

7. Now, click on the second Add Condition button.

8. Lastly, enter a SKU into the field for Item SKU Equals. For this example, we are searching for the SKU BLJ-1.

Great!! We located 2 orders out of over 5,000 that were placed between 09/01/2016 and 09/30/2016 and contained the SKU BLJ-1.
As you can see, there are many, many options available on which to search. Feel free to explore and to create a few Advanced Searches.
'How do I clear my search results?'
There are a couple of different ways to do this.
1. Click on the X inside of the Search All Orders field.

2. Click on any filter in the Filters Panel.

In some cases, you may need to use both the Advanced Search and the Quick Search together in order to get the correct search results. One example may be that you have multiple marketplaces connected to ShipWorks and the marketplaces have overlapping order numbers.
In this case we need a way to say "Hey ShipWorks, I need to see order number 6004, but only the order 6004 for my Generic File store".
The good news is that we can set up an Advanced Search to narrow down orders for only a single marketplace. Then, use the Quick Search to locate a specific order within the Advanced Search results. Let's take a look.
1. Click on the Advanced Search button.

2. Now, click on the Add Criteria button in the Advanced Search window.
3. Then, click on Order Total and select Store Instance.

4. From the drop-down menu, select the store for which you would like to search for orders by order number. For this example, we are selecting our Generic File store.

5. Great, now you have all of the orders for your selected store in the search results. To narrow down the results to a single order number, simply enter the order number into the Search These Results (Quick Search) field. For this example we are searching for our generic file store order number 6004.

Great!! We have now narrowed down order number 6004 for only our Generic File store, even though we may have another order number 6004 related to a different store in ShipWorks.
